This policy explains how The Easy Booth handles your personal information when you use our website, request a design or quote, place an order or contact us.

What we collect

We collect the details we need to help you, such as your name, business, email, phone number, billing and delivery address, order details and messages. Your booth brief may include event details, website links, artwork and inspiration you choose to share.

Our website and service providers may also collect your IP address, device and browser details, pages visited and cookie information.

How we use it

We use this information to answer enquiries, prepare designs and quotes, process orders, arrange production and delivery, provide support, prevent fraud and keep business records.

Optional fields in our forms can be left blank. We may not be able to complete your request without essential contact, payment or delivery details.

We usually receive information directly from you. We may also receive it from someone acting for you, our payment or delivery providers, or a public business website you ask us to use for your design. Only share other people's information if you have permission.

Who we share it with

We share relevant details with providers who help us do the work. These may include Shopify, payment and accounting providers, email and cloud services, design tools, manufacturers, couriers and installers. We may share contact and booth details with your event organiser to coordinate your project. We may also share information where the law requires or allows it.

Checkout payments are handled by the payment provider. Please do not email card details. Shopify also processes information under its Consumer Privacy Policy. You can manage requests about information Shopify controls through its privacy portal.

Design tools

We may use design software and AI tools to create concepts from your brief, website and brand assets. This can involve sharing supplied material with the tool provider. We limit what we share to what is needed for the job. Avoid including sensitive personal information in references. Tell us before sending confidential material so we can agree how to handle it.

Cookies and marketing

Cookies help the website, cart, checkout and security features work. Analytics and advertising tools, where enabled, may measure visits or personalise advertising. You can use your browser settings and any privacy controls shown on the site to manage available choices. Blocking essential cookies may affect the site.

We send marketing messages with consent or where the law allows. You can unsubscribe using the link in a message or by contacting us. We will action your request within the required legal timeframe. You may still receive messages about an enquiry or order.

Storage and overseas services

We take reasonable steps to protect your information. No online system is completely secure.

Some providers process information outside Australia. Shopify receives Australian customer information through its Singapore entity and may process it in countries including Canada and the United States. Its Privacy Policy explains these arrangements. Other email, cloud and design services may also process information overseas. Contact us for details about providers used for your project.

We keep information for as long as needed for project, support, accounting and legal purposes. When it is no longer needed, we take reasonable steps to delete it securely or remove identifying details, subject to legal requirements.

Your information and complaints

Contact us to ask for access to your information, correct it or request deletion. We may need to confirm your identity. Some records must be kept for legal or business reasons. We will explain if we cannot meet a request and what options you have.

If you have a privacy complaint, email us with the details. We will investigate and aim to respond within 30 days. If you are not satisfied, you can contact the Office of the Australian Information Commissioner to ask whether it can help.
