Hanging Exhibition Signs: What to Confirm Before You Order

A hanging sign can help visitors find your brand across a large hall. It is also a separate planning job, involving the stand design, the organiser and the people responsible for rigging. Before choosing a circle, square or triangle, work through how the sign will be approved, installed and seen.
Confirm that the stand can have one
Ask the organiser whether suspended signage is permitted for your stand and what approval process applies. Get the event's current requirements, including submission dates and the information they need from your supplier. Permission at a previous show does not confirm permission at this one. Wait for the relevant checks before treating a hanging sign as a fixed part of the final design.
Separate the sign from the rigging service
The printed sign and its frame are different from the work required to suspend it. Ask who supplies the rigging, who coordinates the booking and what each quote includes. ICC Sydney lists banner hanging and rigging as a separate exhibitor service. Confirm the arrangement at your venue, including installation and removal, rather than assuming the sign's purchase price covers everything above the stand.
Check the position on a drawing
Show the intended sign position over the stand footprint and ask the approved rigging provider to assess what is possible. Share the supplier's dimensions, weight and supporting information with the people reviewing the installation. Do not choose suspension points or fixing methods yourself. Resolve positioning before final artwork so you know which faces are most likely to be visible from the aisles.
Think about the view from a distance
A hanging sign usually needs to identify the brand quickly. Keep the main message readable and avoid treating it like a brochure suspended overhead. Consider what someone approaching from each open side will see. A square offers distinct flat faces; a circle presents a continuous surface. The useful choice depends on the artwork and stand setting, as well as the shape you prefer in a render.
Connect the artwork to the booth below
Use the same brand identity across the overhead sign, backdrop and counter so a visitor can connect the distant marker to the stand at eye level. Ask for the exact artwork template for the selected sign. Check joins, panel divisions and the orientation of each face in the proof. A layout that looks balanced when flat can place the wrong word across a join once assembled.
Put the approvals in the handover
Keep the approved drawing, supplier information, rigging booking and contact details together. Make it clear who is coordinating each part and when the sign must be available for installation. Include removal and repacking in the plan too. The team arriving on site should be able to see the confirmed arrangement without reconstructing it from a long email chain.
